Why RFQ quality matters
A well-prepared request for quotation (RFQ) is the foundation of an efficient sourcing process. Vague or incomplete RFQs lead to inaccurate pricing, mismatched product offers, and delays. Suppliers need specific information to provide quotations that reflect actual delivered costs and product availability. The more precise your RFQ, the easier it is to compare offers and make informed decisions.
Product specifications
Clearly define the products you are sourcing. Include the product type (e.g., whole frozen chicken, boneless beef, pork loin cuts), desired weight ranges, and any specific quality or grading requirements. If you have packaging preferences, such as bulk cartons, vacuum-packed, or retail-ready, state these upfront. Include any certification requirements, such as Halal, EU-approved, or specific food safety standards.
Volume and delivery details
Specify the volume you are looking to source, whether per shipment or per month. Include your preferred delivery terms, such as FOB, CIF, or CFR, and identify the destination port. If you have a preferred delivery timeline, mention it in the RFQ. This information helps suppliers assess whether they can meet your volume and logistics requirements.
Documentation and compliance
List any documentation requirements specific to your destination market, such as veterinary certificates, phytosanitary certificates, certificates of origin, or specific testing reports. Including these details in the RFQ avoids delays during the quotation and ordering process.
